Activity Submit - Frequently Asked Questions


  As well as Adding an Activity you can also Submit an Activity for Approval.


Q. What is the difference between Adding an Activity and Submitting one?
A. When you Add an Activity it is immediately added to the Clubs database of Activities and can be seen on the Activity Exchange Web Site. When you Submit an Activity it is not added to the Clubs database. Instead an email is sent to your Club containing the details of the Activity so that your Club can approve the event before it is listed.

Q. What Passwords do I need?
A. To Add an Activity straight into Activity Exchange you need your Clubs Organiser (or better) password. To Submit an Activity you only need a User Password. If you are not sure what kind of password you have been supplied with by your Club, then go to your Clubs page on Activity Exchange and it will tell you at the bottom what access you have.

Q. What validation is done on the Activity?
A. Exactly the same as is done when Adding an Activity. Do bear in mind though that some validation may have changed by the time the Activity is Added. For example, the Date may no longer be in the future.

Q. How do I Submit an Activity rather than Add one?
A. You need to go to your Clubs Home Page on Activity Exchange where you should find a link called "Submit Activity" on the right hand side. Not all Clubs allow this so it might not be there for your Club.

Q. Is this feature available for all Clubs?
A. Any Club can have this feature. Someone with the Master Password needs to Edit the Clubs settings and turn this feature on.

Q. Once a Club has Approved an Activity what next?
A. All ythe club has to do is to send the Activity back to Activity Exchange. This is very simple to do and full instructions are given in the email.

Q. What Attachments are supplied?
A. To help Clubs process the Submitted Activity an attachment is provided with the email which is a .CSV file with headers which can be used for mail-merging or import into a database. Other attachments are planned.

Q. Who gets the email to the Club about the Submitted Activity.?
A. This will go to the Clubs Activities email address if you have specified one. If not it will go to the Clubs General email address.
